Unleashing the Power of Research and Understanding in Project Management
Navigating the Path to Success through Comprehensive Resource Analysis and Insightful Planning
Project capacity planning for SMEs comes before the plan, not after it.
In the world of project management, where success hinges on the ability to effectively plan and execute projects, the wisdom of Gantt’s advice cannot be overstated. It is through thorough research and a deep understanding of available resources that project managers can navigate the complexities of their endeavors and emerge victorious. Like a master architect carefully surveying the land before laying the foundation of a grand structure, project managers must embark on a journey of exploration and discovery to unlock the true potential of their teams and resources.
By Gantt’s advice I don’t mean one quotation. I mean his overall impact on project management and lean project management, and above all the Gantt chart, a bar chart that illustrates a project schedule. For the man himself, see the backstory of the Gantt chart. A project resource assessment is the practical side of this post: before the plan is drawn, find out who and what you truly have. It belongs in the blueprint stage of the eight project management steps.
To embark on this quest for knowledge, project managers must embrace the art of research. They must immerse themselves in a sea of information, diligently gathering comprehensive data about the resources at their disposal. This includes a meticulous evaluation of both human and material resources, as every cog in the project’s machinery plays a pivotal role. They must assess the skills, expertise, and productivity levels of their team members, understanding their unique talents and the value they bring to the table. Simultaneously, they must evaluate the availability and suitability of equipment, technologies, and other necessary tools, ensuring that the project is equipped with the means to manifest its vision.
Yet, research alone is not enough. The true power lies in the synthesis of knowledge and understanding. Project managers must take this wealth of information and analyze it with a discerning eye, unearthing valuable insights that will shape the trajectory of their projects. They must uncover the strengths and weaknesses of their team members, unraveling the intricate tapestry of capabilities that lie within their grasp. Armed with this knowledge, they can orchestrate a symphony of productivity, assigning tasks and responsibilities in a manner that maximizes efficiency and empowers each team member to contribute their best. By recognizing the limitations of individuals, project managers can set realistic expectations and avoid the pitfalls of unattainable goals, ensuring a steady march towards success.
With a well-researched understanding of available resources and a deep comprehension of the strengths and weaknesses of their team, project managers can chart a course towards greatness. They can craft plans that transcend mere feasibility and instead inspire their teams to reach new heights. By leveraging the unique talents and capabilities of their members, they create strategies that transform ordinary projects into extraordinary endeavors. They provide the necessary support and training to nurture growth and development, ensuring that every team member is equipped to overcome obstacles and contribute meaningfully to the project’s triumph. In doing so, they foster a sense of empowerment and motivation, igniting a fire within their teams that burns brighter with every step forward.
Equally important, by basing their plans on real data and research, project managers can anticipate the challenges that lie ahead. Like seasoned seafarers navigating treacherous waters, they can spot the hidden reefs and turbulent currents that threaten to derail their projects. Armed with this foresight, they can take proactive measures to mitigate risks and address potential obstacles before they gain the upper hand. They allocate additional resources, adjust timelines, and develop contingency plans, ensuring that the project sails through the storm unscathed. This proactive approach not only minimizes surprises but also allows for a smoother and more efficient implementation of the project’s objectives.
Project Capacity Planning for SMEs: The Arithmetic Beneath the Poetry
Fine words, but let us bring them down to the workshop floor with a small invented example. A team of six, in a month of twenty working days, looks like 120 person-days on the plan. Yet these six also keep the existing business running, which takes, say, 40% of their time. That leaves 72 days. Meetings, reporting and the small daily emergencies take perhaps another 15% of what is left, and we arrive at about 61.
So a plan calling for 100 person-days this month is not ambitious. It is fiction, and it was fiction before the project began. No amount of inspired leadership will produce 39 days that do not exist. The manager has three honest choices: reduce the scope, extend the timeline, or find more people.
Nor does this stop at headcount. On a real estate automation project, I recommended no tool until the workflow was documented as it actually happened, and not as anyone assumed it happened. Only then did the waste show itself: redundant data entry, inconsistent formats and no single source of truth. That word “assumed” is the enemy. For every resource your plan depends on, one question suffices: did somebody check, or did somebody assume?
Each gap you find feeds your project plan. Each one you cannot close belongs in your project risk management register. And capacity shifts as readily as the weather, so revisit the sums as the work proceeds, as I argue under project monitoring.
In the end, Gantt’s advice encapsulates the very essence of successful project management. It reminds us that true mastery lies not only in the execution but also in the preparation. By undertaking thorough research and embracing the depths of understanding, project managers can unlock the full potential of their teams and resources. They can craft plans that inspire, ignite, and empower, laying the groundwork for extraordinary achievements. With a compass in hand and a wealth of knowledge at their disposal, project managers navigate the vast and unpredictable sea of project management, steering their teams towards the shores of triumph and basking in the glory of successful project outcomes.
